Check files and map columns
Read the status of every file, change a kind that was recognised wrongly, map the columns of a table and read files again.
The "Files" tab lists every file under "Uploaded files" with its folder path, kind, status and the number of records that come from it.
The app recognises the kind in this order: first by the format (DATEV exports, CAMT and MT940), then by the column names of a list, then by keywords on the first page, for example Verdienstabrechnung or Arbeitsvertrag, and last with the help of the AI. In lists the app maps common German and English column names itself; the AI proposes the other columns.
Who can use this
- Owner and Admin
- Confidential files: only with the permission for personnel data
Steps
1. Filter by status
Choose a status at the top of the list, for example Error, to see only those files.
2. Change the kind
If a file says "Kind unsure, please check" or "Not recognised", choose the right kind in the "Kind" column. The file is then read again.
3. Map columns
Click "Map columns" on a table. Under "The data are" choose the group the rows belong to. Using the "Examples", map every "Column" to a "Field" or choose "Do not take over". If required fields are missing, the dialog names them as not yet mapped. Click "Save and read again".
4. Read again
Click "Read again", for example when the AI service did not answer the first time.
Fields and options
- Waiting
The file is uploaded and waits to be read.
- Reading
The file is being classified and read.
- Read
The file is done. The "Records" column shows how many records come from it; 0 means it is only archived.
- Error
The file could not be read. The reason is shown below it, for example that a table is too large or the AI service did not answer.
- Skipped
The file is not read any further.
- Confidential
The lock next to the name: the file holds personnel data and is visible only with the permission for personnel data.
Tips
- You can also tell the assistant how to map a column, for example that a column Kd Nr is the customer number. It then applies to every matching file, including files uploaded later.
Good to know
- When a file is read again, the proposals that come only from this file are removed and created anew; your changes to those records are lost. Records already applied are not touched.

- Give the assistant instructions
Change many records with one sentence: skip, approve, set values, map columns or set the cut over date, always with a preview and a confirmation.
- Review and apply groups
Read the overview, check and edit records, approve many at once and apply the groups in the right order.
