Take over customers, suppliers and products

Take over lists and the DATEV customers and suppliers export, assign contacts and bank details, and understand how existing entries are recognised.

Customers, suppliers and products come from lists (CSV or XLSX) and from the DATEV export of customers and suppliers (Debitoren/Kreditoren). The app recognises common German and English column names, for example Kundennummer, Firma, PLZ, VAT ID, IBAN, payment terms or contact, and cleans the values: "14 Tage netto" becomes a payment term of 14 days, "Dienstleistung" the product type service, EAN numbers are checked against their check digit and contact names are split into first and last name.

In the DATEV export every row is a customer (personal account 10000 to 69999) or a supplier (70000 to 99999), with address, VAT ID, contact, bank details and SEPA mandate reference. The DATEV account number becomes the customer or supplier number and the DATEV personal account, so a later booking batch finds the partners.

Steps

  1. 1. Upload

Upload the customer, supplier and product lists or the DATEV export. An open items list also proposes customers and suppliers, which are merged with the lists.

  2. 2. Review

Review Customers and Suppliers. For updates you see which fields would change.

  3. 3. Apply

Apply Customers and Suppliers, then Contacts and Bank details, then Products.

Fields and options

Customers and suppliers

Name / company is required. The old number or the DATEV personal account becomes the customer or supplier number; a payment term in days is matched to an existing payment term or created.

Contacts

The last name is required. They are assigned to the customer or supplier of their row.

Bank details

The IBAN is required. An account of your company is created as a bank account. For a supplier, IBAN, BIC and bank are stored. For a customer, a SEPA mandate is created when a mandate reference is known, otherwise a note on the customer, because customers have no bank fields of their own.

Products

SKU and name are required; also EAN, unit, net sales and purchase price, tax rate and product type.

Recognising existing entries

Customers and suppliers by VAT ID, IBAN, DATEV personal account, customer or supplier number, name with postal code, or e mail, and by the name alone when one side has no postal code. Products by SKU, EAN and name. Contacts by e mail or name within their customer or supplier. Bank details by IBAN.

Tips

  • Invoices in the upload only propose the customer or supplier, with a question to confirm. The invoices themselves do not become open items; upload the open items list for that.
  • Leave out archived or inactive customers with an instruction to the assistant, for example "Skip archived customers".

Good to know

  • Undo removes what the transfer created and nothing uses yet. A customer or supplier with documents, a product in documents or in stock and a bank detail in use stay and are listed with the reason. Updated entries get their previous values back.
