How BizCortex sends email
The sender address, delivery queue, languages and logs behind every email.
BizCortex sends emails for many reasons: documents to customers, sign in links for portals, signature requests, reminders, approvals, digests and notices from the sales agent. This page explains what all of these emails have in common. The following pages describe each email one by one.
Most emails leave from the sender address of the BizCortex platform (for example "BizCortex" with a no reply address). The platform operator configures this address and the mail server. Emails of the follow up and meeting features (the AI sales agent) can instead leave in the name of your company and through your own mail server. See the page "Sender address and mail server".
Steps
1. The email is queued
When you click a send button, BizCortex hands the email to a background queue. Your work is saved first. A problem with the mail server never undoes the business action, for example the invoice stays finalized even if the email fails.
2. The queue delivers
The queue connects to the mail server and delivers the email. If the mail server is not reachable, the queue tries again up to 5 times, about one minute apart.
3. You check the result
Document emails from Sales appear in the "Email log" tab of the sales settings and in the email list of each document. Follow up emails appear in the Outbox of the follow up feature. Signature requests record each email in their event history.
Fields and options
- Sender (From)
The platform sender address for almost all emails. Follow up emails, meeting confirmations, meeting reminders and enquiry acknowledgements use your company name as the sender name and, if configured, your own mail server.
- Reply address
Most emails have no separate reply address. Calendar invitations set the organizer as the reply address. Follow up emails use the reply address from the follow up settings (or the sales rep). Document emails from Sales do not set a reply address, so write your contact details into the template text or your signature.
- Format
Emails are plain text. A few emails also carry a formatted HTML version: the Assistant briefing, the Advisor digest, urgent Advisor insights and meeting reminders to contacts.
- Attachments
Depending on the email: PDF documents, electronic invoice files (XRechnung or ZUGFeRD), calendar files (ICS), report files (CSV, XLSX or PDF) or the fully signed PDF.
- Language
Customer and vendor emails follow the language of the customer, the document or the company. Supported document languages are German, English, French, Spanish, Swedish, Norwegian and Danish. Some internal notices are currently written in German only; this is stated on the page of each email.
Tips
- Before you send the first invoice, check the email templates and set up your personal email signature under My account, Signature tab.
- If customers should be able to answer document emails, put a reply address or phone number into your signature or into the template text.
Good to know
- BizCortex does not have a shared inbox for document emails. Replies to platform emails do not arrive in BizCortex.
- Password resets, two factor codes and invitation emails for your team come from the sign in service Auth0, not from BizCortex itself.
