Electronic signature emails

Invitations, codes, reminders and results of signature requests.

A signature request sends emails to each signer and to the person who created the request. Texts exist in German, English, French, Spanish, Swedish, Norwegian and Danish; the language is chosen per request ("Language of the emails") or per signer. These emails end with your company name. They do not contain your personal signature.

Steps

  1. 1. Invitation "Please sign"

    Sent to each signer when it is their turn: all signers at once for parallel signing, or one after another for sequential signing. Contains the name of the sender, your company, the document title, your optional message, the personal link, the expiry date and whether the confirmation code comes by email or text message. The link is personal and must not be forwarded.

  2. 2. Confirmation code

    Sent when the signer opens the link and asks for a code by email. Subject: "Your confirmation code". The code is valid for 10 minutes. A code by text message is sent as SMS instead.

  3. 3. Reminder

    Subject "Reminder: please sign". Sent automatically every few days ("Remind every … days", 1 to 30, default 3) to signers whose turn it is, at most the set number of times (0 to 10, default 3). Also sent when you click "Remind" or "Resend link". Every reminder contains a fresh link; the previous link stops working.

  4. 4. Fully signed

    Sent to every signer and to the creator when everyone has signed. Contains the SHA 256 checksum. The signed PDF with its audit certificate is attached when it is not larger than 15 MB.

  5. 5. Signature declined

    Sent to the creator and to the other signers who were already invited when a signer declines. Contains the name of the signer and the reason. The request ends.

  6. 6. Signature request withdrawn

    Sent to invited signers who have not signed yet when you cancel the request. Their links stop working.

  7. 7. Signature request expired

    Sent to the creator when the request expires before everyone signed. Requests expire after 30 days unless you set another date.

Good to know

  • The creator also gets an in app notification when a request is completed or expires.
  • Automatic reminders and expiry are checked every 30 minutes.
