Portal links, purchase orders and vendor notices
Emails to customers and vendors that are not sales documents.
These emails go to people outside your company. All of them use fixed texts in the language of the customer or of your company. For languages other than German and English, an English version follows below the text. None of them contains your personal signature.
Steps
1. Customer portal sign in link
Sent when staff click "Invite to the customer portal" on a contact, and whenever a contact requests a link on the portal sign in page. Only contacts with "Portal access" receive it. The link is valid for 30 minutes and works once. Subject: "Your customer portal login".
2. Supplier portal sign in link
Sent when staff invite a vendor contact or click "Resend link" in the supplier portal administration, and whenever an enabled vendor contact requests a link. Valid for 30 minutes, single use. Subject: "Supplier portal" with your company name.
3. Bank details change notice
Sent to every known address of a vendor (all contacts and the vendor email) when new bank details are requested in the supplier portal, and again when your team approves or rejects them. It shows the masked IBAN and asks the vendor to contact you at once if they did not start the change. This protects against payment fraud.
4. Purchase order
Sent when you issue a purchase order with "Send by email". Goes to the addresses you enter or to the vendor email. Contains the order number and one line per item with quantity, unit and description. Your own message replaces the default text.
5. Request for quotation
Sent to every invited vendor with an email address when you send a request for quotation with email switched on. Contains the number, the title, the items and the quotation deadline.
6. Operating manual access link
Sent when a reader of a protected manual asks for "Access by email" and the address belongs to a contact of a customer who owns the machine. Valid for 30 minutes, single use, at most 3 emails per address per hour. Addresses that do not match get no email, and the page does not reveal this.
Good to know
- Purchase order and request for quotation emails contain no PDF attachment.
- If a vendor has no email address and you do not enter one, issuing the purchase order with email is refused.
