Processes on records

Read the "Process" card on bills, purchase orders, invoices, sales orders, payroll runs and fiscal years, and clear a block.

When a record runs through a process in Track or Enforce mode, its page shows the "Process" card. It appears on bills, purchase orders, invoices, sales orders, payroll runs and on the page of fiscal years and periods.

The card names the process with the status of the run and shows its steps as a strip. Below are the "Current step", who is "Responsible" and, for an approval with an amount limit, the value "From amount".

Who can use this

  • Every member who may open the record and read processes

Steps

  1. 1. Read the strip

Done steps are green, the current step is highlighted, a blocked step carries a lock, skipped steps are struck through and upcoming steps have a dashed border.

  2. 2. Open the run

Click "View run" to open the run page with the diagram and the step history.

  3. 3. Clear a block

When the current step of an enforced process waits for an approval, the card shows a note with the reason, for example whose approval it waits for. Click "Go to approvals" to decide the approval or see where it stands. After the approval, the action is possible again.

Fields and options

Current step

The step at which the record currently stands.

Responsible

The role or person who completes or approves the current step.

From amount

For an approval, the amount from which it is needed.

Enforce

The badge next to the process shows that the approval steps of this process block actions.

Good to know

  • When you try a blocked action, such as posting or paying a bill, issuing a purchase order, approving a payroll run or locking a period, the error message names the process and the step that blocks it.
  • For a payroll run, the granted approval approves the payroll run; for the month end close, it locks the period. You do not have to trigger the action again afterwards.
  • When a record runs in several processes, the card shows each run. When it has no run in a process in Track or Enforce mode, the card does not appear.
