Supplier portal

What vendors see and do: purchase orders, invoices, payments, uploads and bank details.

The supplier portal is titled "Supplier portal" with your company name. A vendor sees only their own data. It has four tabs.

Who can use this

  • Vendor contacts enabled by your purchasing team

Steps

  1. 1. Confirm a purchase order

Click "Confirm order", optionally enter "Your order number", the "Delivery date" and a "Note", and confirm. Your team sees "Order confirmation sent".

  2. 2. Decline a purchase order

Click "Decline", add a note and confirm.

  3. 3. Upload an invoice

Open "Upload", choose the kind, choose the file and submit. The page shows "File submitted".

  4. 4. Report new bank details

Enter Account holder, Bank and IBAN and click "Request change". Under "Payment fraud protection": "Changes only take effect after an internal check and call back. All known contacts of your company are informed by email." The request shows the status In review, Applied, Rejected or Superseded.

Fields and options

Purchase orders

Issued, received and cancelled orders with the order date, the expected delivery, the items (Item, Quantity, Price, Net) and the status Confirmed or Declined. "No purchase orders" when empty.

Invoices and payments

"Your invoices": the status of each vendor invoice in your accounting (In review, Open, Partially paid, Paid, Overdue) with Your invoice number, Date, Due, Amount and Open. "Remittance advice": payments to the vendor with the invoices they settle and any discount.

Upload invoices and documents

Upload an Invoice, a Credit note or correction, or a Certificate or document (for example a tax exemption certificate or an ISO certificate, with Title and Valid until). Formats: PDF, XML (XRechnung, ZUGFeRD) or image, max. 25 MB. Electronic invoices are captured automatically; other PDFs are reviewed manually. "Submitted documents" lists uploads with the status Received, Captured, Processed or Rejected.

Bank details

"Bank details on file" (masked) and "Report new bank details" with Account holder, Bank and IBAN.

Good to know

  • New bank details never take effect automatically. Your team must verify them by phone using a known number and approve them.
