Approval risk rules
Which actions are high risk and where each kind of action can be approved.
Every action has a risk level: Low risk or High risk. The rule is simple: the Assistant sends nothing without your approval. High risk actions can only be approved in the app. Low risk actions can also be approved on WhatsApp. SMS can never approve anything.
The risk is decided by code, not by the AI model. When a draft is edited, the risk can only go up. Earlier reasons always stay.
Who can use this
- Owner
- Admin
- Sales
- Accountant
Fields and options
- New recipient (high risk)
You have never written to this address or number before. Only your own sent mail, colleagues and your own address count as known. Having received mail from someone does not count. For a meeting answer, the organiser is checked.
- Recipient from untrusted content (high risk)
In the chat, a recipient came from text the Assistant read (for example a mail) and was not typed by you.
- Attachment (high risk)
The message carries a file.
- ERP change (high risk)
Every change in BizCortex made through a delegation.
- Possible manipulation attempt (high risk)
The draft is based on a mail that was flagged as suspicious or as a manipulation attempt.
- Changed recipients (high risk)
You or someone changed the recipients in an edit.
- Low risk
None of the reasons above applies, for example a reply to someone you have written to before.
- In the app
Any action, low or high risk, can be approved in Approvals or on a chat card. High risk needs an extra confirmation.
- On WhatsApp
Low risk actions only, and only when "Approvals only in the app" is off and "Approvals via WhatsApp" is on for the channel. Reply "Yes A7" or tap the button. High risk actions get the answer to approve in the app, with a link.
- By SMS
Never approves. SMS can only reject ("No A7") or cancel during the send delay ("Cancel A7"), because an SMS sender cannot be verified.
Tips
- Want the strictest setting? Turn on "Approvals only in the app" on the Approvals tab.
- A bare "Yes" on WhatsApp only works for the action shown on that channel in the last two hours. Otherwise the Assistant asks which one and lists the short codes.
Good to know
- An approval on WhatsApp also needs your live approval permission at that moment.
- Approval buttons on WhatsApp are signed for you and for one exact version. A button for version 1 can never approve version 2.
