Brain, privacy and limits
What Brain can see, what it stores and how long.
Brain sees exactly what you see. It works with your role, your custom role if you have one, and the packages your company booked. If you may not open a record in BizCortex, Brain cannot read it either. Pages of packages your company has not booked are not offered.
Sensitive HR data (pay, payroll, payslips, bank details and sensitive employee fields) is hidden from Brain unless an administrator switches on "Allow sensitive HR data".
Who can use this
- Every member with a built in role: Owner, Admin, Accountant, Sales, Purchase, HR Manager, Employee, Viewer and Compliance
- Members with a custom role only when the role includes the Brain chat permission
Fields and options
- Conversations
Private to you. Deleted after 12 months without use, or earlier when you delete them.
- Messages
Your messages, the answers, results of the steps Brain ran and the page context you sent. Kept with the conversation.
- Proposed changes
Every proposal with its summary, values and outcome. Kept with the conversation.
- Attached files
The file and the text read from it. Kept with the conversation.
- Usage
Tokens used per chat turn, for the company budget.
Good to know
- Your personal data from Brain is included in data protection exports and deletion requests.
- Brain cannot act for another user, cannot read secrets such as API keys, and cannot change company or platform administration.
