Documents found by the AI

See what the AI recognised in a document, open the document at the quote, and correct the kind if needed.

When a document is uploaded, archived, imported or arrives in a connected mailbox, the AI reads it and decides what it is, for example a tax assessment, an invoice or a termination notice. Each line reads like a sentence: Tax assessment from Finanzamt München, objection deadline 14.11., 2 triggers fired. The chip shows where the document came from.

Deadlines that follow from other dates, such as an objection deadline, are computed by the software from the document date and the legal rule, never guessed by the AI.

Who can use this

  • Reading: every member with a built in role, for the documents they may see
  • Correcting, confirming and dismissing: accounting, sales, purchasing, HR, owners and administrators

Steps

  1. 1. Filter the list

    Filter by status, by document kind or by source. The list refreshes on its own every 30 seconds.

  2. 2. Open a document

    Click a line. The detail shows every value the AI read with the exact quote from the document, and the deadlines with the rule they were computed from.

  3. 3. Check the quote

    Choose Show in document next to a value. The document opens at the right page with the quote highlighted.

  4. 4. Correct the kind

    If the kind is wrong, choose the right one under Correct the kind and save. Triggers for the new kind run again, and the AI learns from your correction.

  5. 5. Confirm or dismiss

    Confirm a document you checked, or dismiss one that does not matter. A dismissed document can be restored.

  6. 6. Link evidence

    If the AI thinks the document proves an obligation of your company, it offers to link it as evidence. Link it or choose Not evidence.

Good to know

  • Without Brain the tab shows that the function is not booked. System triggers, your own triggers and suggestions still work.
  • A document whose text cannot be read shows the reason, for example a scan without text.
