Confirming what Brain proposes
How proposed changes work: confirmation cards, statuses, expiry and the extra safety step.
Brain never changes data on its own. When a task needs a change, Brain prepares it as a proposal and shows a confirmation card in the chat. The change runs only when you click "Confirm". It then runs with your own sign in, exactly as if you had clicked the button in BizCortex yourself, so all checks apply.
This rule is built into BizCortex itself, not only into the instructions for the AI. A proposal cannot be run by the AI, by another user or twice.
Who can use this
- Every member with a built in role: Owner, Admin, Accountant, Sales, Purchase, HR Manager, Employee, Viewer and Compliance
- Members with a custom role only when the role includes the Brain chat permission
Steps
1. Read the card
The card shows a badge with the kind of change (Create, Update, Delete, Approve or Send), a short summary and the most important fields. Up to 6 fields are shown; click "Details" to see the rest ("+ N more fields").
2. Confirm
Click "Confirm" to run the change. For changes that cannot simply be undone (Delete, Approve and Send) a second dialog asks "Really run this?" and warns that the action may not be reversible. Click "Yes, run it" to go ahead. The card shows "Running …" and then the result.
3. Reject
Click "Reject" if you do not want the change. Brain is told about it and continues the conversation.
4. Open the result
When the change created or changed a record, click "Open" on the card to go to it.
Fields and options
- Awaiting confirmation
The proposal waits for you. The card shows "Expires in …".
- Done
You confirmed it and the change ran successfully.
- Failed
You confirmed it but BizCortex refused the change, for example because a required field was missing or a rule blocked it. Brain sees the error and can suggest a correction.
- Rejected
You rejected the proposal. Nothing was changed.
- Expired
Nobody confirmed the proposal in time. Nothing was changed. Ask Brain again if you still want it.
- Kinds of change
Create and Update are normal changes. Delete, Approve (this includes release, post, book and submit) and Send (this includes dispatch, transmit and mail) are treated as not reversible and need the second confirmation step.
Tips
- Always read the fields on the card before you confirm, especially amounts, dates and recipients.
- If something on the card is wrong, reject it and tell Brain what to change.
Good to know
- A proposal expires after 30 minutes by default.
- Changes made through Brain appear in the audit log marked as made via Brain, together with the conversation.
- A four eyes rule still applies. If a document needs a second person to approve it, Brain cannot skip that.
