Templates and readiness

See which templates your data can already fill, what is missing and create a document when one is ready.

Company Brain, Templates knows for every template which data it needs and how much of it exists. It covers Document Assistant templates, templates from the compliance database (for example a financial plan) and wiki pages with field references. Templates are sorted into three tabs: "Ready", "Almost ready" and "Missing data".

Readiness follows your data. When you add a product and then its price, the "Financial plan" template turns ready at once and is offered to you: a draft waits in AI approvals, and the briefing mentions it. The document is only created when someone approves the draft.

Who can use this

  • Seeing readiness: every member with a built in role
  • Creating a document: Owner, Admin and Accountant

Steps

  1. 1. Open a tab

    Choose "Ready", "Almost ready" or "Missing data". Each card shows how many fields are available, for example "3 of 4 fields available".

  2. 2. Fill the gaps

    Under "Missing" click "Set" next to a field to open the place where it is entered. "Documents that can fill missing fields" lists uploaded documents with values for the missing fields.

  3. 3. Create the document

    Click "Create" (or "Create for …" per product). This makes a draft; "Waiting for approval" shows on the card. Click "Go to approvals" to approve it.

  4. 4. Open the result

    After approval, "Open document" opens the new page. "Recalculate" updates the readiness of all templates at once.

Fields and options

Available

The fields the template needs that already have a value in your company data.

Missing

The fields still without a value. "entered when creating" marks values you type in when you create the document.

Origin

"Document Assistant", "Compliance" or "Wiki page".

Good to know

  • Create only makes a draft. The document is created when you approve it, and it holds only values from your data, read again at the moment of approval.
  • A template is offered only once while it stays ready. Templates that need nothing but the company name are never offered on their own.
  • Readiness is also recalculated every night.
  • A wiki page with field references appears as "Wiki page". It is not created from here, because it always shows its values live; "Open page" opens it.
