Company Brain at a glance
How the Company Brain links rules, company data, documents and templates, and the rules it always follows.
The Company Brain connects four things in one knowledge graph: compliance rules and the requirements that follow from them, your company data (company profile, products, prices, payment terms and finance values), your documents and your templates. Because everything is connected, it can answer "are we compliant with this rule?" by following the rule to its requirements, the data they need and the documents that prove them, and it knows for every template which data it needs and how much of it you already have.
Open Brain in the app launcher and choose Company Brain in the sidebar. The menu has five pages: "Overview", "Knowledge graph", "Checks", "Templates" and "Import". Overview shows whether the compliance database is connected and what the Company Brain already knows: "Graph nodes", "Checks", "Templates ready" and "Proposed values".
Who can use this
- Every member with a built in role: Owner, Admin, Accountant, Sales, Purchase, HR Manager, Employee, Viewer and Compliance
- Running checks, creating documents and importing: Owner, Admin and Accountant
Steps
1. Check the source of the rules
At the top of Overview you see the state of the compliance database. "Compliance database connected" means rules and requirements come from the compliance database. "Sample data" means a few sample rules are used until it is connected. "Compliance database not connected" means checks against rules are not possible yet; your company data, documents and templates keep working.
2. See the size of the compliance database
Right below the connection notice, the "Compliance database" strip shows how much the rules behind your answers cover: law packages, documents, text sections, duties and cross references between provisions, with the date of the last update. Click "Open the library" to browse them.
3. See which duties apply to you
The "Your compliance" card counts the duties for your company: "Applies", "Does not apply" and "Applicability unclear". Under "These details are missing" it lists the profile facts that would settle the most unclear duties, each with the number of duties it settles. Click one to jump to the Compliance profile card. The same card is available as the "Your compliance" widget on your home page.
4. Start from the Brain tile
The Brain tile on your home page opens the Brain start page. Type a question in "Ask about your company and the law" to send it to Brain, or open Company Brain, Library, Checks, Triggers, Graph or Templates from the tiles. The setup checklist adds three steps when Company Brain is booked: "Fill in the compliance profile", "Connect documents" and "Run a first compliance check".
5. Describe your company for the rules
Below the tiles, the Compliance profile card asks for the facts the compliance database uses to decide which rules apply: markets, whether you process personal data, employees, turnover, balance sheet total, HGB size class, works council and more. Tick markets, switch yes or no, type numbers and choose "Save profile". The card then lists the rules that apply, and "to check" where a fact is still missing.
6. Accept the suggested size class
While "HGB size class" is empty, the Compliance profile card shows "Suggested size class": the class that follows from your turnover, balance sheet total and employees, the note "derived from § 267 HGB" and each criterion against its limit ("not exceeded", "exceeded" or "missing"). Check it and click "Accept". The fact then shows "accepted suggestion (§ 267 HGB)". A value you entered yourself is never overwritten.
7. Describe your products
The "Product compliance profiles" card lists your active products with the number of facts set. Click "Edit" on a product to open its compliance profile: product types, markets, classes and features, grouped into "Classification", "Data and users", "Technology and energy", "Medical devices" and "Substances and commodities". Empty fields are not set. Click "Save"; only the facts you changed are saved.
8. Explore the graph
Open "Knowledge graph" to see rules, requirements, documents, templates and data fields and how they connect.
9. Ask a compliance question
Open "Checks" or ask Brain in the chat, for example "Do we meet the retention duty of § 257 HGB?".
10. See what you can create
Open "Templates" to see which templates your data can already fill and what is still missing.
11. Bring in old documents
Open "Import" to upload legacy documents. The AI proposes values, and you decide what goes into your company data.
Fields and options
- Graph nodes
Rules, documents, templates and fields the graph knows for your company.
- Checks
Stored check results, each with its sources.
- Templates ready
Templates whose required data is complete.
- Proposed values
Values read from imported documents that still wait for your confirmation.
- Compliance profile
Facts about your company that decide which rules apply, and the rules that apply with them. Only members who may manage fields can change them.
- Product compliance profiles
The compliance facts of each active product, which decide the product rules that apply, for example for medical devices, radio equipment or batteries. Only members who may manage fields can edit them. Members who may only read fields see "View" instead of "Edit" and the profile read only.
- Suggested size class
A proposal for "HGB size class", derived from § 267 HGB: a class applies when no more than one of its three limits (balance sheet total, turnover, employees) is exceeded. With the previous year's figures entered, both balance sheet dates are compared: if they give different classes, the previous class stays until the next date confirms the change. Without them only your current figures count, except in the year of incorporation. The legal form is checked: a sole trader, e.K. or GbR gets no suggestion, a KG or OHG gets a note to check § 264a HGB, and a capital market oriented company is always large. It appears only while the size class is empty, and "Accept" is only shown to members who may manage fields.
Tips
- In the Brain chat you can ask "Are we compliant with § 257 HGB?" or "Where does our payment term come from?". Brain uses the Company Brain to answer, with a source for every statement.
Good to know
- Nothing is written without a person. Values the AI reads from documents are proposals until someone confirms them. A document the Company Brain offers to create is a draft that waits in AI approvals.
- Every statement of the AI comes with its source: the document, the page and a quote that appears word for word in it. Anything the AI cannot prove is dropped or shown as "Unknown".
- The AI checks and explains; it does not decide compliance on its own. A requirement is always "Met", "Missing", "Conflict" or "Unknown", with reasons and sources.
- The compliance database is only read, never changed. You see only data, documents and fields you may see anyway.
- The Company Brain is part of the Brain package.
