Import legacy documents

Upload old documents, review the values the AI found with page and confidence, and apply what you confirm.

Company Brain, Import reads old documents such as financial plans, price lists or company profiles and proposes values for your company data: company profile, payment terms, product prices and finance values. Every value comes with the document, the page, a quote that appears word for word on that page and a confidence. Values that cannot be proven this way are dropped.

Nothing is written to your company data until you approve it. Applied values go through the same checks as a manual change, and each field remembers which document and page it came from.

Who can use this

  • Uploading, reviewing and applying: Owner, Admin and Accountant
  • Seeing imports: also Viewer

Steps

  1. 1. Upload

    Under "Upload legacy documents" choose one or more files. Every file is scanned for viruses and stored in the "Company Brain" space of your documents. "Imports" lists them with their state: "Waiting", "Reading", "Done" or "Failed".

  2. 2. Review

    Click "Review". Values are grouped by "Company", "Finance" and each product. For each value you see "Value found", "Current value" ("Not set yet", "Same" or "Different"), "Confidence" and "Source". Click the source to see the quote and open the document at its page.

  3. 3. Correct

    Click "Edit" to correct a value and "Save". Corrected values are marked "corrected".

  4. 4. Approve or reject

    Select values (or "Select all", or "High confidence only") and click "Approve and apply" or "Reject".

  5. 5. See the result

    The "Result" step shows how many values were applied and which templates are ready now.

Found and waiting for your decision.

Applied

Written to your company data.

Approved, not applied

Approved, but the company data refused the value (for example because of a missing permission); the reason is shown.

Rejected

Not used. A rejected value is not proposed again when the document is read again.

Tips

  • Ask Brain "Where does our revenue projection come from?" to get the document, page and quote of a value.
  • A product that does not exist yet must be linked first: click "Link product" and choose an existing product.

Good to know

  • Only the first 60 pages of a document are read.
  • The AI uses your company's AI key. Without an AI model the import shows "Failed" with the reason; read the document again once a key is set.
  • New products are never created by the import.
