Calendar: invitations and answers

How attendees are invited and how they accept or decline, also without an account.

Every attendee with an email address receives an invitation email. It contains a calendar file (einladung.ics), the time in the appointment's time zone and three answer links: accept, maybe and decline. Colleagues also receive an in app notification.

Internal attendees answer in the appointment details with the buttons Accept, Maybe and Decline. External guests click a link in the email. A small public page called Invitation opens, shows "Invitation from …", When and Where, and saves the answer ("Thank you! Your answer was saved."). The organizer is notified of each answer.

Who can use this

  • Organizer: anyone with the Calendar write permission
  • External guests: no account needed

Fields and options

Answer status

Pending, Accepted, Tentative or Declined. "Your answer" shows your own status.

Organizer

The person who created the appointment. Only the organizer or an admin can change it.

Good to know

  • The "Accept" button inside Outlook or other mail programs is not processed automatically. It sends an email to the organizer's address. Ask guests to use the links in the invitation.
  • An answer link stops working when the attendee or the appointment is deleted. If the appointment was cancelled, the page says "This appointment was cancelled."
