Posting rules and immutability

The checks every posting must pass and why posted entries can never be changed.

All postings in BizCortex go through one central check, no matter if they come from the journal editor, an invoice, a payment, depreciation or a year end closing. This makes sure the general ledger is always consistent and meets the German GoBD rules for proper bookkeeping.

Fields and options

At least two lines

A posting needs at least two lines with an amount.

One side per line

A line is either debit or credit, never both, and amounts are never negative.

Balanced

The total debit must equal the total credit, rounded to cents.

Known and active accounts

Every account must exist and be active. Inactive or archived accounts are rejected.

Known cost center and cost object

If a line has a cost center or cost object, it must exist.

Open fiscal year

A fiscal year must cover the posting date, and it must be open. Without a fiscal year for the date, the posting is rejected.

Unlocked period

The month of the posting date must not be locked.

Foreign currency

A line can carry a currency, the foreign amount and the exchange rate. Debit and credit are always stored in the base currency of the company.

Good to know

  • Posted entries are immutable. They cannot be edited or deleted. Corrections are made with a reversal (Storno) and a new entry.
  • Only the year end closing may post into a locked period, and only while the fiscal year is still open.
  • Every posting, reversal, lock and unlock is recorded in the audit log of the company.
